A cancelled hour is gone forever; you cannot sell it tomorrow. Most massage practices absorb several a week and call it normal. A simple system fills most of them, often in under an hour.
1. Keep a real waitlist
Not a mental note. A list in your booking software (Jane, Noterro, Vagaro and Mindbody all have one) of clients who want an earlier appointment, with their preferred days and times. Ask every client who books more than a week out whether they would like to be on it.
2. Text, do not email
When a slot opens, text the first three matches at once: “Hi Sam, a 2pm opened up today with Jess. Want it? Reply YES and it is yours.” First reply wins. Email is too slow for same-day.
3. Have a template ready
Write the message once and save it. The whole point is speed: a cancellation at 11am should be re-filled by noon.
4. A cancellation policy that actually works
- 24 hours’ notice, stated at booking and in the reminder.
- A card on file or a deposit for first visits.
- Enforce it kindly and consistently. Regulars rarely test it; new clients need to see it is real.
5. Reduce cancellations in the first place
- Automated SMS reminders 48 and 24 hours before.
- Confirmations that require a reply.
- Rebooking at the table so the next appointment is real to the client.
6. Use the gap for marketing if it stays empty
A same-day slot offered to your retargeting audience or your email list at a small incentive is better than an empty room, as long as the incentive does not train regulars to wait for deals.
